Job Description:
General Summary: The Administrative Assistant assumes leadership and shares responsibility for administrative functions within the SCHS alongside the office administrator. Included is maintaining the administrative area and waiting room in an organized and welcoming fashion; managing SCHS forms, supplies, and equipment; filing and maintaining the confidentiality of clinical charts; managing the client databases; and maintaining consistent front desk coverage. This position is responsible for providing ongoing administrative support to all staff, including orienting all staff to the administrative flow and system. As needed, this person provides administrative support with SCHS events and activities, and attends expected SPU, OSL, and SCHS events and activities. The AA works closely with the Office Manager, SCHS Director and Assistant Director related SCHS operations, and performs other duties as assigned.
Job Duties:
Provide front desk coverage for Student Counseling & Health Services (SCHS), including but not limited to:
Maintaining the office as a welcoming, positive, and responsive environment
Answering phone calls and emails; routing calls; greeting clients; facilitating intakes; updating medical records, preparing charts for clinical appointments; processing mail, filing, faxing, copiers, and multi-line phones; and assessing clients needing immediate assistance
Provides ongoing administrative support to the SCHS staff, including but not limited to:
Scheduling & calendar management
Generating reports as needed
Technological support
Restocking clinical and student forms
Maintains technology, software, and charting, including but not limited to:
Updating the counseling client database and follow-up survey system
Maintaining clinical charts, including opening, closing, filing, and maintaining their confidential nature
Operational support and management, including but not limited to:
Assisting staff transitions and onboarding counseling interns in coordination with the Office Manager
Provide administrative support for campus communication and outreach, including but not limited to:
Assisting the Office Manager with social media, graphic design, etc.
Poster distribution across campus to promote services to the wider campus community
Providing administrative support as part of SPU's People Response Team for campus emergencies and crisis management, including but not limited to:
Implementing university emergency / disaster plan / crisis management response for SCHS in coordination with the Office Manager
Assisting in inventory tracking for emergency response supplies in coordination with the Office Manager
Requirements:
Bachelor's degree or commensurate experience.
One year of work-related activity as administrative assistant, office assistant, other similar role. Ability in managing office systems; including reception, filing, operating equipment and supplies, and supervising of assigned personnel.
Knowledgeable of and experience in working with a college age population.
Proficient with Microsoft Office suite including Word, Outlook and Excel.
Preferred Qualifications:
Two or more years in a responsible administrative support position, including supervisory experience.
Background in counseling or related field.
Two plus years experience working in a college or university setting.
Working knowledge of Microsoft Access, Photoshop, Microsoft Publisher.
Additional Information:
Position will remain open until filled.
This is a part time position, working 20 hours per week, 10 months per year, mid-August to mid-June.
Salary: $20 - $22 per hour
This is a part time position with available benefits. SPU pays a portion of the employee premium for medical, dental, and vision insurance. SPU makes contributions to an employee HSA account and to a retirement account after one year of eligibility in the plan.
