This Executive Assistant position requires a sophisticated,
multi-tasking professional to support both the Executive’s business and personal domains. The ideal candidate should be able to demonstrate pleasant interpersonal skills, technical savvy, effective time management, and a strong work ethic.
General responsibilities include but are not limited to:
Maintain the Executive’s extensive calendar comprised of meetings, appointments, events, trips, etc. and keep contacts updated
Print and prepare documents for meetings, conference calls, and other daily obligations
Process correspondence: Receive calls and respond to emails and voicemails in a timely manner
Manage all aspects of travel: Private and commercial flights, ground transportation, accommodations, dining, etc.
Handle all banking (deposits, withdrawals, transfers) and bookkeeping (bill payments, incoming receivables, account reconciliations, expense reports)
Provide various expenditure analyses
Administer Philanthropic pledges/requests and contribution schedules
Review and update insurance coverage/policies
Keep and organize extensive filing system
Coordinate activity and communication with the Executive’s estate manager
Troubleshoot and solve basic computer, communication and administrative problems as they arise
Run errands and provide assistance for any family member requests
Required skills, experience, and attributes:
BA/BS degree preferred with at least 5 years of administrative experience, 3 years at the Executive level
working for a Chairman, CEO or President
Strong computer skills with
proficiency in MS Office applications, Quicken, smartphone capabilities, internet research
Competence in analyzing, discussing and booking private jet and charter program options
Comprehensive communication skills, both verbal and written
Able to take initiative, resolve challenges, evaluate alternative courses of action and make sound, time-sensitive decisions
Organize and proactively plan with attention to detail
Accessible on evenings and weekends as needed
Exhibit exceptional follow through and diligence
Present composed demeanor and objectivity under pressure with a positive attitude
Work independently and set priorities efficiently
Maintain sensitivity and confidentiality
