Job Summary
The University of Colorado Boulder is searching for a Student Services Assistant! This position provides coverage and high-level administrative support to the Graduate School by providing front line customer service, acquiring goods and services, serving as a liaison, and arranging meetings and events as needed. The position supports the student services activities of the dean's office, working directly with departments and students. This position maintains student records and reviews, analyzes, and processes student forms, and also provides support to thesis and graduation processes.

What Your Key Responsibilities Will Be
Student Services Records, Review and Processing, Project Support:
Update and maintain current and confidential student and faculty information in various campus systems and platforms.
Review, analyze, and process various graduate student forms and maintain student records including but not limited to: Final Grade Reports, Letters of Completion, Examination report forms, and Candidacy.
Support colleagues by making other updates to and providing information from student records as requested.
Establish collaborative relationships with academic units and work to resolve issues and collect vital information and forms.
Assist Assistant Dean and other staff with various student and administrative projects, including checking instructor information in each session and collecting information for mentor awards.
Graduate Student Services Front Line and Administrative Support:
Provide front line support and positive and welcoming customer service at front desk to graduate students, staff, and faculty constituents, including answering main the phone line and e-mail address, and assisting walk-in visitors. This includes referring constituents to staff and other departments as needed. Work closely with Graduate School partners to help resolve concerns.
Provide information to constituents regarding Graduate School rules, requirements, and procedures.
Maintain lists and listservs of partners as requested and assist with correspondence and notifications.
Coordinate the acquisition of office supplies, equipment, IT, hardware and software, working with the Financial Service Center and other relevant offices to acquire items and services needed by staff.
Assist with meeting planning and scheduling for Assistant Dean. Provide support to Graduate School staff for events and large meetings as requested, both in person and virtual formats and platforms. This includes booking space and catering, setting up virtual meetings, arranging technology, making vital accommodations, etc.
Serve as the Graduate School's liaison to Parking and Transportation Services, Office of Information Technology (OIT) and Facilities Management.
Support of Graduation and Thesis Submission Process:
Serve as first point of contact for questions regarding thesis formatting and submission, and perform pre-checks of theses.
Review final theses for compliance with formatting specifications, working with students to bring documents into compliance and electronically accepting final copies.
Correspond with graduating students regarding completion of requirements, including survey requirements and dissertation titles.
Conduct final graduation checks, analyzing records and collaborating with students and units to ensure that all requirements are met and student records are complete.
Provide office coverage during graduation deadline times.

This position is in a primarily in-person work situation, they are expected to be in the office at least 3-4 days a week as set by the unit, with a potential for remote work 1 or 2 days a week in the future.
What We Can Offer
The annual salary range for this position is $45,052.00 - $53,000.00.

What We Require
Must be a Colorado resident to apply.
3 years of proven experience in a relevant occupational field. Appropriate education will substitute for the experience on a year-for-year basis.
What You Will Need
Excellent verbal and written communication skills.
The ability to work independently and in a team setting.
An ability to take initiative in complicated situations and exercise good judgment.
What We Would Like You To Have
4 years of work experience in higher education, related to student services.
Experience at the University of Colorado with student services, administrative support, or other similar roles.
Past experience working with graduate students.
Previous experience working with Campus Solutions (CU-SIS), Onbase, Outlook, Zoom, and/or Slate.
