Minimum Qualifications
EITHER: 1) Reachable on the Civil Service eligible list; OR 2) Eligible for reassignment by virtue of having permanent competitive service as an Administrative Specialist 1 (SG-18); OR 3) Eligible for transfer under the provisions of the Civil Service Law.

Duties Description
The Administrative Specialist 1/Trainee will be responsible for providing administrative and staff support to the Chief Customer Officer and Deputy Chief Customer Officer in areas such as recruitment, budgeting, customer service, reporting, office management, and special projects.
The Administrative Specialist 1/Trainee is responsible for, but not limited to, the following duties:
· Assist with the following: Coordinate divisional budget submissions; review monthly reports of operating expenses and reconcile as needed; manage the division’s office supplies—tracking inventory, ordering supplies, authorizing payments, and maintaining a record of purchases
· Coordinate the planning and hosting of the agency’s annual customer service celebration, working closely with a committee of staff throughout the agency. Maintain timelines, schedule meetings, prepare agendas, document decisions, follow up on outstanding items and oversee the budget expenditures for the event.
· Categorize the open-ended feedback from surveys such as the annual Cobalt survey of retirees. Track the status of customer service and processing enhancements planned to address concerns raised. Develop and maintain record keeping system of ongoing issues.
· Help coordinate and prepare responses to member communications submitted to legislators, Board members, or the Executive Director—conducting case research, preparing analyses, and drafting letters in response. Maintain the divisional complaint log necessary for DFS reporting. Proofread drafts of written materials.
· Touch base with department managers on status and completion deadlines. Keep “Impact Planning Calendar” updated and post latest version to the Intranet on a quarterly basis. Gather background and statistical information necessary for reporting to the Executive Director and Retirement Board. Prepare other reports as needed. Plan and implement special projects.
· Manage central files for storage of divisional documentation and oversee record keeping of historical memos and other vital information.
· Conduct daily review of MyNYSTRS high risk score report
· Maintain division wide file share repository
· Assist with support duties for all Member Relations departments as needed
