Why we need you
The Corporate Services Associate will work in collaboration with your team and key stakeholders to create and implement communication strategies through the intranet and develop corporate forms that meet regulatory requirements. As the company grows and transforms, you will need to identify and support new ways of doing business and engage employees.
Responsibilities
Essential Responsibilities
Intranet Administration
Manage the support, maintenance, training and administration of intranet.
Update CMS content, ensure quality and formatting meets all brand messaging and logo requirements. If content received does not meet requirements, work with end user to revise content until requirements are met.
Ensure site navigation maintains an easy flow for the end user and is updated as needed.
Monitor site analytics. After reviewing key performance indicators (KPIs), establish projects to improve sections of the intranet or deliver new tools through the intranet.
Work closely with key stakeholders to understand their needs, involve and educate them in planning and problem solving.
Create, manage and maintain a master list, library and archival of new and revised content.
Troubleshoot site and content related issues, ensuring they are resolved efficiently and effectively.
Prepare and submit monthly reports containing various analytics.
Form Management and Development
Create and revise company forms used for issuing and servicing life insurance policies using specialized desktop publishing software within established timeframe as requested.
Collaborate with end users to ensure form design meets user requirements while maintaining correct logo usage and branding messaging.
Ensure that all forms created meet Legal and Actuarial approval to ensure compliance with individual state and/or federal regulatory requirements.
Ensure that approved forms are provided to requesting department for production.
Create, manage and maintain a master list, library and archival of all forms created/revised as the source for regulatory compliance.
Manage DocuSign forms for on-boarding in collaboration with human resource staff.
Design artwork for various projects throughout the company.
Research new forms software and design methods as required.
Prepare and submit monthly forms report.
Other Duties
Ensure that the department standard operating procedures are updates as needed and reviewed annual.
Prepare and submit quarterly report to Group Environmental Committee.
Prepare and submit monthly and quarterly reports to Finance.
Assist with other duties as assigned.

Qualifications
Education
Associate's degree in Business Administration or related field strongly preferred
Experience/Knowledge
5 years of administrative experience in an office environment
2 years of desktop publishing software experience
Skills
Strong organizational and analytical skills
Strong and effective written and verbal communication skills
Ability to make effective decisions with thorough understanding of procedures, company policies, and business practices to achieve general results and deadlines
Ability to complete work with minimal supervision
Strong Microsoft Word and Excel
Ability to solve problems in stressful situations and work in a fast-paced environment
Strong knowledge of desktop publishing applications (i.e., Adobe Acrobat, InDesign, DocOrigin, or similar software)
Strong organizational skills to manage multiple tasks and project
